Privacy Policy

How information is used when you visit AlwaysHello or communicate with a business using our services.

Who this policy covers

AlwaysHello (“we,” “us,” or “our”) provides AI receptionist, call-handling, and social messaging services for businesses. This policy explains how information is handled through AlwaysHello.ai and our services.

For account administration, support, billing, and our website, AlwaysHello handles information for its own operations. When a business uses AlwaysHello to handle its calls or social messages, we process those communications to provide that business’s configured services. The business also has its own privacy responsibilities and may have a separate policy. Contact that business about its use of your information; you may also contact us for help identifying or handling an AlwaysHello-related request.

Information we process

  • Account and business details: names, business names, email addresses, phone numbers, business profiles, operating hours, authorized users, settings, and support correspondence.
  • Calls and messages: caller or sender identifiers, names supplied during a conversation, message content, comments, attachments or attachment references, call times, durations, transfer details, transcripts, summaries, and information needed for follow-up. Call audio is processed to support conversations; recordings may be stored when the recording feature is enabled.
  • Connected social accounts: Facebook Page and Instagram professional-account identifiers, usernames, access permissions, authorization tokens, incoming messages, comments, and related delivery information made available through an authorized connection. The information available depends on the platform permissions and features enabled.
  • Business integrations: information retrieved from connected business systems to answer customer questions, such as schedules, product or service information, and records the business authorizes us to access.
  • Billing and usage: selected services, subscription status, usage, invoices, payment status, and payment-method references or limited payment details supplied by payment processors.
  • Website and technical information: IP address, browser and device information, visited pages, timestamps, error or security logs, cookies, and privacy preferences. Cookie and website-tracking information is described below.

Information comes from you, the business you contact, authorized account users, connected platforms and service providers, and use of the website or services. Please avoid submitting unnecessary sensitive information, passwords, government identification numbers, or full payment-card details in calls, messages, or support emails.

Why we use information

We use information to operate accounts; answer and route calls; display and organize messages; prepare or deliver responses when enabled; support business follow-up; retrieve authorized business information; process billing and usage; troubleshoot problems; protect against abuse; and comply with applicable obligations.

AI services may process relevant audio, transcripts, message content, business instructions, and retrieved information to generate responses. Authorized business staff may review conversations, prepare answers, and save approved information for future responses. Features and approval settings differ by business. Information submitted to a business may therefore be available to that business’s authorized staff.

Customer communications connected through Facebook or Instagram are processed for the authorized messaging services. This policy does not authorize using those communications to train a general-purpose AI model. Selecting Social Network during signup is a setup preference. Access to a Facebook or Instagram account requires separate authorization through Meta. Customers who do not connect a social account can use their selected non-social services without granting Meta account access.

Who receives information

Information may be disclosed to:

  • The business you contact and its authorized staff, including a team member who receives a transferred call or a follow-up request.
  • Service providers, including hosting, database, communications, AI, payment, and support providers, for the functions they perform. Providers used by AH include Twilio for communications, OpenAI for AI processing, and Meta for authorized Facebook and Instagram integrations. The provider involved depends on the feature.
  • Legal or security recipients, where disclosure is required by law or reasonably necessary to protect rights, investigate abuse, or address security issues.
  • A successor operator, if a merger, sale, or reorganization involves the service and its records, subject to applicable protections and notice requirements.

Third-party websites and platforms handle information under their own terms and privacy policies. Our policy applies to AlwaysHello’s handling of information, not every independent activity of those platforms.

Cookies, advertising & your choices

The AlwaysHello homepage, signup page, and these legal pages do not load the Meta advertising Pixel. Selecting Facebook or Instagram during signup does not enable advertising tracking. Social messaging connections use separate permissions that you approve through Meta.

We use cookies and similar storage for account sessions, security, and website preferences where needed. Browser cookie controls can limit storage, although blocking all cookies may affect account features.

Previous advertising choices: an earlier homepage version offered optional Meta Pixel tracking. A previously saved advertising preference does not turn tracking on in the current homepage or signup page. Removing the Pixel does not delete information previously received by Meta; your Meta privacy settings and applicable request processes govern that information.

Global Privacy Control and Do Not Track: the Meta Pixel stays disabled on these pages regardless of these browser signals. This does not change the settings or independent activities of Meta or other websites.

You can contact support@alwayshello.ai with privacy questions or requests to opt out of sale or sharing where those rights apply. We do not sell the content of customer calls, private messages, or connected business records to advertisers.

Retention, security & processing locations

Retention depends on the type of record, the business’s configuration, and the purpose for which it is used. Account and service records may be retained while needed to provide the service, handle follow-up, resolve disputes, maintain security, or meet applicable obligations. Billing records, backups, and security records may have different retention needs. A recording feature’s retention setting does not necessarily delete transcripts, summaries, or message records on the same schedule.

You can ask us about retention for a specific record or request deletion using the instructions linked below. Removing a platform connection does not automatically erase information already received. Where information must be retained for a permitted reason, we will explain the applicable limitation when responding to a request.

We use safeguards intended to limit unauthorized access to information. No internet service or storage method can be guaranteed completely secure. AlwaysHello is based in California, and service providers may process information in the United States or other locations where they operate, subject to applicable requirements.

Access, correction, deletion & other requests

You may contact support@alwayshello.ai to request access to, correction of, or deletion of information associated with you. Depending on applicable law and the circumstances, additional rights may include obtaining a copy, objecting to or restricting processing, withdrawing consent, or opting out of sale or sharing. Where a privacy law applies, we will handle requests within its required time limits and will not discriminate against you for exercising protected rights.

We may need information sufficient to locate the records and verify your identity or authority. An authorized agent may contact us, subject to appropriate verification. If we process the information for a business, we may need to coordinate with that business. We will explain if a request cannot be completed in full. Authorized account users can also update available profile and business settings in AH. You may revoke a Facebook or Instagram connection through the platform’s app-permission settings and contact us to disable the corresponding AH connection.

Children and sensitive uses

AlwaysHello’s business account services are intended for adult business users and are not directed to children under 13. If you believe a child has provided information that should be removed, contact us. Businesses should not configure the service for uses involving sensitive or regulated information without the notices, safeguards, and agreements those uses require.

Changes and contact

We will update the date shown on this page when this policy changes. For material changes, we will provide additional notice through the website, account, or email when appropriate or required. New processing that requires consent will not rely solely on an update to this page.
